Onboarding and the automation to integrate with SAP is new business process that is designed to streamline business processes. These processes mean re-thinking and revamping existing methodology. This will take time and training and over time it will become our new normal.
In Fun Fact Friday, Volume 12, we reviewed the NU/NSCS process of setting up new hires for success before their first day. That included writing a welcome message, assigning a buddy, and preparing them for Day 1. Today, we are looking through the lens of the new hire to see what things they need to complete in preparation for the first day of their new job. This article outlines how they use the new hire information we provided them in last week’s Fun Fact Friday to set them up for a positive onboarding experience when they arrive on their first day.
Completing Onboarding Tasks (New Hire's Perspective)

When the new hire receives the email from the system letting them know that they have new tasks to complete, they will go to their Onboarding Checklist (screenshot below). This will display all of the actions they need to complete, and essential resources to review, to help them transition into their new role.
One example is the Explore Onboarding Guide (outlined in yellow in the image on the left). Here there are two key resources - Prepare for Day 1 and Know Your Key People.
The first is a checklist of what they need to know about their first day, things they need do prior to showing up, and important materials they need to have with them, such as a passport and parking pass, etc. As Fun Fact Friday, Volume 12 mentions, this increases the collaboration between the hiring staff and the new hire!
The other section, Know Your Key People, explains who to go to, and for what. This valuable resource serves as a guide for the new hire to know which people can address their different needs during their transition into their new role. This list displays their manager and other essential contacts of which they should be made aware.
Because these materials and the workflows for the processes are all contained within the new SuccessFactors Onboarding system, much of your involvement becomes more streamlined and less manual. The system intuitively guides new hires through essential onboarding tasks, ensuring they complete all steps and review materials before their first day. That way you can worry less about executing the transactional tasks, and instead focus more strategically on establishing a strong relationship with the incoming new hire for an improved experience all around.
Restarting Onboarding Manually (NU/NSCS Perspective)

If you find that you need to restart the onboarding process for some reason, such as correcting missing or inaccurate data, the SuccessFactors system makes this very feasible to complete without a lot of manual rework.
Restarting onboarding is simple. The first thing you need to do is search for the new hire. You can use either their name or their hiring manager’s name. This is another example of how the flexibility within SuccessFactors simplifies the actions you need to take to complete the activities of your work.

Once you find them, the process is very logical to follow because all the actions you need to take appear on the far right in the candidate’s row, and then through the “Actions” list at the top right corner of the New Hire Details screen. Clicking on the Restart Onboarding item in that list will kick-off the process. This simple and easy to find action is another way that these process changes will improve your ability to complete the tasks of your job.

The rest is straightforward. Acknowledge the restart, briefly explain the reason for the restart, and click confirm. This resets the onboarding, giving the new hire a clean slate to complete their onboarding smoothly.
