This week’s Fun Fact Friday looks at things from a different angle. We are looking at the processes and the way the new hire will experience them. In these articles, we outline the processes to complete the new hire compliance forms from the perspective of the new hire or employee. Our objective is to provide you with insight into their experience in the event you are asked questions.
Complete Section 1 of Form I-9
New hires will access a simplified version of the SuccessFactors platform. It is designed to show them the tasks that require their attention. For example, completing Section 1 of the I-9 form is one of their first onboarding requirements.

When the system assigns this task, it automatically sends them an email prompting them to take action. They will find this task on their Home Page along with its due date. Click on “Your Onboarding Checklist” to open the task.

The system directs them to the Onboarding module that displays all of their necessary actions in the “Onboarding Data Collection” window along with their respective status. This includes the I-9 process and more.
The “Employee Information” prepopulates based on data they enter in the first onboarding task “People/Personnel Data”. They review all populated fields (these are the greyed out fields in the screenshot) and input any missing data into the open required fields (these are the white fields).

Scrolling down to the “Type of Citizenship” section, they select the appropriate option that reflects their status. Then, they continue to the “Documents Presented for Verification,” choose the relevant document type, and upload a picture or scanned version (e.g. PDF) of the document.

Next, they need to select the appropriate response in the “Preparer and Translator Certification" section. To complete the process, they read and agree to the “Employee’s Attestation Statement” by checking the box and clicking “Submit”.
Now that they have completed Section 1 of the I-9, they will need to use the E-Sign process described in the next article.

With Section 1 completed, new hires then move on to signing their documents. The system automatically sends them an email with a link to DocuSign, where they review their previously submitted information and electronically sign their forms.

Users confirm their name and initials when DocuSign prompts them before signing. This also lets them select a signature style, draw their own, or upload a custom signature file. To finalize how their signature will look, they click “Adopt and Sign” and move through the steps to finish the process. At this point, the system sends the hiring manager an email notification confirming the process is complete.
By understanding this process, you can confidently support new hires and guide them through each step should they need assistance.
